How an implementation runs

Nine stages, each with a clear outcome. Larger implementations go through them more than once, one phase or group of modules at a time.
  1. Discovery

    We learn how the business runs: its companies and branches, the teams involved, the documents they handle and what has to change.
    Outcome: Agreed goals and the scope of the first phase.
  2. Business process mapping

    Each process in scope is mapped as it happens today, step by step, including the spreadsheets and workarounds around it.
    Outcome: A process map for each area, reviewed with the people who do the work.
  3. Solution design

    For every step we decide what standard ERPNext covers, what needs configuration or customization, and what, if anything, has to be built.
    Outcome: A design that separates standard, customized and custom-built.
  4. Configuration

    We set up the company, chart of accounts, taxes, warehouses, item and party masters, naming series, roles and permissions.
    Outcome: A working ERPNext system with your structure.
  5. Customization

    Where the standard forms and documents need to fit, we add custom fields, print formats, workflows, validations and reports.
    Outcome: Customizations kept in a versioned app, separate from ERPNext’s own code.
  6. Data migration

    Where it applies
    Where you have data in another system, we move it across: customers, suppliers, items, opening stock and account balances, checked against the source before go-live.
    Outcome: Opening data in ERPNext that reconciles with your old system.
  7. Testing

    Each process is run end to end with realistic data, then your team runs its own scenarios in user acceptance testing (UAT).
    Outcome: Sign-off from the people who will use the system.
  8. Training

    Teams are trained module by module on their own processes, in workshops that use your company’s data.
    Outcome: People who know how to do their own work in ERPNext.
  9. Go-live and support

    We move to live use in planned phases, then stay available to fix, refine and extend the system as the business changes.
    Outcome: A live system, with support after go-live.

Data migration, where it applies

Not every implementation needs one. A new business may start clean; an established one usually brings years of records.

Master data

Customers, suppliers, items, price lists and the chart of accounts.

Opening balances

Account balances, stock quantities and values, and outstanding invoices on the go-live date.

History

Past transactions only where there is a clear reason to bring them, because they are the slowest and riskiest records to move.

How it’s done

ERPNext’s Data Import tool for most records, scripted imports for large or complex data, and reports that check totals against the old system.

An implementation only works if the people using it are confident.

Common questions

How long does an ERPNext implementation take?
It depends on how many companies, modules and users are involved, how much data has to be migrated and how much customization is needed. We give a phased plan once discovery is done, rather than a figure before we understand the business.
Do we have to move everything to ERPNext at once?
No. We usually roll out in phases, for example accounting and stock first, then manufacturing or payroll, so each team moves when it is ready.
Can ERPNext work alongside the software we already use?
Often, yes. ERPNext has a REST API and webhooks, so it can exchange data with other systems. Whether a specific system can be connected depends on what it offers; we check that during discovery.
Where will ERPNext be hosted?
ERPNext can run on Frappe Cloud, Frappe’s managed hosting, or on a server you control. The right choice depends on your team and requirements, and we discuss it during solution design.
What if ERPNext doesn’t do something we need?
Then it’s customized, or built as a separate Frappe app that works with ERPNext’s own records.
